An after-hours message has one job: tell callers what to do next. It should identify the practice, state when the office reopens, give the approved urgent-care instruction, and explain how to leave a message when a callback process exists.

A plain-language script

“You have reached [practice name]. Our office is currently closed and will reopen at [time and time zone]. If you are experiencing a life-threatening emergency, call 911 or go to the nearest emergency department. For an urgent dental concern, follow [practice-approved after-hours instruction]. To leave a non-urgent message, press [option] and include your name, callback number, and reason for calling.”

Replace the bracketed language with the practice’s actual policy. Do not add an on-call number, response time, or emergency instruction that the dentist has not approved.

Keep the message easy to follow

Put the urgent instruction early. Say the opening time slowly. If the phone system supports separate options, label them plainly and test each route after the message changes.

Do not ask callers to provide detailed clinical history in a general voicemail. Tell them what information the practice needs for a callback, then use the approved intake process when staff return the call.

Audit the script

Review the message when office hours, holidays, on-call coverage, or emergency policy changes. Assign an owner for the review. A stale after-hours message can send a caller to the wrong place even when the daytime workflow is correct.

Sources and verification notes

Sources support the specific guidance identified above. Policies, prices, and service scope can change; verify current details before relying on them.

Common questions

Should an after-hours voicemail diagnose symptoms?

No. It should give the practice's approved urgent-care instruction and avoid interpreting symptoms.

Can the script promise a callback?

Only if the practice has an actual after-hours owner and a defined callback process.
