Article guide
A daily huddle gives the reception team one shared starting point. The goal is not to read every appointment aloud; it is to expose the few changes that could create a missed handoff, an unanswered call, or an avoidable surprise. Keep the discussion operational and move patient-specific work into the approved system.
Confirm coverage
Name the opening and closing owners, phone coverage, breaks, interpreter or accessibility process, and the person handling urgent routing questions. If coverage is uncertain, assign a temporary owner and a time to revisit it.
Review the exceptions
Look for schedule changes, new-patient preparation, unresolved callbacks, records requests, referral follow-up, and payment or benefits questions that already have an approved next step. Discuss only the information needed to route the work.
Make ownership visible
For each exception, record the owner, next action, and return condition in the approved system. A requested time is a preference until the schedule confirms it, and a clinical question remains with the appropriate clinical owner.
Close with the checkpoint
End by naming when open items will be reviewed again and who will reconcile them. If a call raises a safety, privacy, authorization, or clinical issue, follow the practice’s approved escalation path rather than improvising an answer.
Test the routine
Once a week, compare one ordinary day with one exception-heavy day. Check whether another receptionist could identify coverage, owner, next action, and return condition without asking the caller to repeat the story. Improve the unclear decision point and update the team at the next huddle.

Keep it to the time needed to identify coverage, exceptions, owners, and next checkpoints; the practice can set its own target.
Should patient details be discussed in the huddle?
